Project Administrator – Indianapolis Office

PROJECT ADMINISTRATOR (Indianapolis, Indiana)

Established Architectural/Engineering/Interior Design firm celebrating its 40th year in business is seeking candidates for the position of Project Administrator. This position will work closely with our architects, designers, and project managers to manage the information flow between our firm and clients and contractors. This role demands a self-motivated individual that is reliable, punctual, and dependable. The position requires a proactive and energetic quick learner.

What you will do:

At MSKTD you will work in a dynamic, collaborative, team-based environment and have a big impact on the success of Healthcare and Higher Education projects, large and small. You will work closely with architects and project managers to provide the following project support:

  • Create copy, proof, edit and mail/email general project-related correspondence including letters, meeting notes, transmittals and reports.
  • Route submittals, RFIs and other documents for issuance, including developing transmittals and maintaining accurate logs.
  • Arrange travel, car rentals, and other associated logistics for our team of Architects and Project Managers.
  • Accurately route incoming and outgoing project related mail and shipments.
  • Coordinate communication with Clients and Contractors for changes to project scope, including Proposal Requests, ASIs and Addendums.
  • Work with Architects and Engineers to format and organize assembly of project specification manuals.
  • General office administrative functions.
  • Position is full time, Monday-Friday from 8:00-5:00 PM with full benefits.

What you need to succeed:

  • Associate’s degree or equivalent experience required.
  • Previous experience working in design or construction trade preferred.
  • Strong organizational skills.
  • Proficiency in the Microsoft Office Suite (Word, Excel) is a must.
  • Strong communications skills, both written and verbal.
  • Willingness to work and put in additional time when project deadlines require the effort.
  • Must be a team player.
  • AIA Contract document software experience is a plus, but not required.
